Introduction

Britannia Car Leasing is a highly respected and well-established leasing brokerage with over 20 years of experience sourcing, supplying, and delivering vehicles. As the company grew, they realized that their existing platform was no longer meeting their needs and began looking for a partner who could provide a platform that reflected their professionalism and commitment to exceptional customer service, while also driving more traffic to their website.

After careful consideration, Britannia chose to switch to MotorComplete. The migration was one of the largest and most complex the platform had ever managed, involving the transfer of contact and renewals data, as well as the active order book. Despite these significant challenges, the majority of changes were completed in December 2022, and the new site and platform went live in January 2023.

The Switch to MotorComplete

Britannia approached the decision to transition from their previous supplier with caution, given their past experiences with unsuccessful attempts to implement alternative broker platforms. However, after conducting thorough research and due diligence, MotorComplete emerged as the clear choice.

MotorComplete was selected based on their extensive experience in automotive and leasing technology, their successful track record with a growing number of brokers, and their demonstrated willingness to collaborate and evolve with their clients. All of these factors indicated that they had the right ingredients in place to meet Britannia's needs and provide a platform that would deliver exceptional customer service and drive more traffic to their website.

Despite the unexpected departure of a key member of the management team at the start of the project, MotorComplete rose to the challenge and delivered invaluable project management. Working closely with Britannia, they completed most of the set-up, provided expert consultancy on the CRM and all the sales administration processes. Additionally, on-site support and training ensured a seamless transition and success from day one.

The project has been a tremendous success, and since the launch, communications between Britannia and MotorComplete have been engaging and productive. Both parties continue to work hard to ensure that changes are accurately specified and delivered on time. The Implementation

During the implementation process, MotorComplete's reporting suite required refinement. Fortunately, Britannia had a clear understanding of their reporting needs, and as MotorComplete's platform is backed by a data warehouse with a powerful Microsoft-based reporting tool, those needs could be met. Following the launch, the MotorComplete team has continued to refine and add to the reporting capabilities and dashboards as needed.

In addition to reporting, various new features were added to the platform to improve its functionality for sales and marketing purposes. For example, UTM capabilities were introduced, enabling brokers to track the sources of website enquiries from campaigns set up on email, Facebook, or Google ads. This provides valuable data that will be used to optimise marketing efforts.

MotorComplete also integrated BT's Cloud telephony system, which has streamlined the communication processes for the sales team. The CRM now automatically opens on the contact page when a call comes in, as well as allowing outbound dialling directly from the CRM.

The timing of onboarding Britannia coincided perfectly with MotorComplete's existing plans to update aspects of the CRM, providing an ideal opportunity to implement changes that would enable seamless use of the platform from initial enquiry to lease renewal. These updates eliminated the need for spreadsheets and other manual processes, streamlining operations and increasing productivity for Britannia and other brokerages who adopt MotorComplete.

The implementation of MotorComplete at Britannia marked a period of rapid change, with improvements made to the order-to-delivery processes, finance document management, and further invoice integration with Xero. With a significant data migration underway, it was the perfect opportunity to optimise the system further. One key change was the ability to assign salespeople to contacts, rather than opportunities. This has allowed the platform to automatically allocate new enquiries to the appropriate salesperson when auto-quote and round-robin features are activated. As a result, quoting can be immediate where required, saving valuable time and improving conversion rates.

The Progress So Far
